Medical Secretary

£9.50 - £10.40 an hour

Job Summary:

To provide general secretarial support to the Doctors, Health Professionals and Managers involving word processing and audio typing skills.

Job Responsibilities:

  • To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals, emails, etc. in an accurate and high quality manner.
  • To process referrals via the e-RS referral system and to respond to any queries regarding this.
  • To process patient tasks in conjunction with other members of the Admin Team.
  • To monitor and disseminate emails received via the generic practice email address in conjunction with other members of the Admin Team.
  • To assist the Practice Manager/Assistant Practice Manager with clerical and administrative duties.
  • To liaise and arrange meetings (to include the booking of rooms) as required and to prepare agendas and attend the meetings to take the minutes.
  • Receiving incoming and initiating outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries including expediting tests/appointments as required.
  • To establish and maintain filing and administrative systems to ensure that written or computer information is easily accessible and secure.
  • To contribute to ensure office systems are as efficient and effective as possible; liaising with the Practice Manager to agree and implement changes.
  • To retrieve medical records and assist with the completion of medical/insurance records.
  • To file patient records and correspondence in patient medical records.
  • To contribute to audit and to assist with the gathering of statistics/data and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform your secretarial duties. Maintain supplies for office equipment.
  • To receive and dispatch mail and maintain a pending system.
  • Have a working knowledge of the telephone and Dictaphone systems to facilitate ‘trouble shooting’.
  • Producing patient information leaflets/literature and posters.
  • Maintaining and updating the practice information directory for GPs and updating the internal telephone directory.
  • Care plans, Respect forms and Special Patient Notes.

Receptionist Vacancies

£9.50 an hour

We have a vacancy for two enthusiastic and motivated part-time receptionists to join our hardworking team.

Ideally the candidate will have previous experience in a similar role and be able to demonstrate excellent telephone and customer service skills.  The ability to work under pressure in a fast changing environment, confidence and use of own initiative is a must. You must be a team player but equally able to work with a degree of autonomy. Applicants require flexibility to cover holidays and sickness. Knowledge of working with SystmOne computer system would be an advantage but not essential as training will be provided.
